Position Summary
This position provides support for all duties and responsibilities related to the Registrar’s Office and serves as backup to the Registrar and Associate Registrar. Additionally, this position is responsible for the oversight of the academic calendar, academic catalog, academic course scheduling, scheduling of classrooms, labs and laptop carts as well as daily Records Office operations.
MAJOR DUTIES
Assists the Registrar with the following functions:
Institutional Calendar Management –
Develops and updates the year-long scheduling timeline and the academic calendar; Coordinates with committee members from various campus departments.
Academic Schedule Management –
Conducts section build training; produces section build calendar; runs sections build error checks and communicates updates required.
Assists with section activations and cancellations.
Oversees data entry into Colleague for schedule creation, runs troubleshooting queries.
Schedules classrooms, computer labs and laptop carts for academic courses and submits confirmations.
Academic Catalog Management –
Updates academic catalog.
Communicates course and program change requirements.
Student Records Management –
Processes academic renewals; assists with FERPA inquiries and trainings; manages student waitlists for enrollment; resolves duplicate student records.
Provides support and investigates student admission, registration, and billing issues. Collaborates with other departments as needed.
Researches unique graduation situations and degree evaluations; assists with graduation ceremony planning and execution.
Assists with daily registration operations as needed, including: answering phones, assisting students, processing forms, and responding to emails.
Performs related duties.

SUPERVISORY CONTROLS
The Registrar assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.
GUIDELINES
Guidelines include New Mexico Higher Education Department guidelines, Family Education Rights and Privacy Act regulations, state residency requirements, document retention statutes, the academic catalog, and college policies and procedures. These guidelines require judgment, selection, and interpretation in application.
COMPLEXITY/SCOPE OF WORK
The work consists of varied duties in directing the college’s registration and student records management functions. The unique nature of issues needing resolution contributes to the complexity of the position. Additionally, the work consists of related scheduling and administrative duties. The variety and volume of customer requests contribute to the complexity of the position.
The purpose of this position is to assist the direction of the college’s registration and student records management functions. Success in this position contributes to the efficiency and effectiveness of college operations. The purpose of this position is to schedule classrooms, labs and laptop carts. Successful performance contributes to the efficient and effective development of the academic schedule.

PHYSICAL DEMANDS/WORK ENVIRONMENT
The work is typically performed while intermittently sitting, standing, stooping or walking. The employee occasionally lifts light objects.

MINIMUM QUALIFICATIONS
Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with an Associate’s Degree and equivalent experience in Records and Registration.
Experience sufficient to thoroughly understand the diverse objectives and functions of the subunits in the division/department in order to direct and coordinate work within the division/department, usually interpreted to require two to four years of related experience.
