Essential Functions
Job Summary
To provide professional knowledge, and expertise regarding Registrar information, processing, and certification of eligibility.
Responsible for a decision-making process that requires initiative and judgment related to registrar processing and meeting needs of students and parents for assigned program/process (graduation coordination, athletic certification, veterans' certification/benefits, and residency certification).
Core Responsibilities
Level I
• Uses discretion and independent judgment to advise and counsel students regarding required forms, application/document processing, eligibility requirements, benefits, acceptance or denial of benefits, etc. for assigned program/process
• Processes, reviews, and evaluates documentation for assigned programs that may include applications, transcripts, academic documents, veterans' forms, pending degree verification, and miscellaneous forms to determine eligibility and/or benefits available to the student.
• Images and indexes paperwork and maintains student files and records for assigned programs/processes.
• Uses independent judgment to resolve complex problems for assigned program/process
• Assists in developing and distributing documents, requirements, and general information to students and/or parents for assigned programs/processes.
• Interacts with the Texas Higher Education Coordinating Board, National Student Clearinghouse, Undergraduate Admissions, Graduate Admission, Athletics Office, Advising, Legal Counsel, Financial Aid & Scholarships, College and Departments on current policies, procedures, and regulations involving student eligibility, benefits, and certification related to assigned program/process.
• Assist with gathering information and providing reports as needed to appropriate departments for assigned program/process (internal to UTSA and external that may include THECB, Veterans Administration, colleges, departments, or documentation needed for the graduation ceremony, etc.).
• Stays abreast of and complies with regulations that govern all assigned programs/process. Interprets and maintains knowledge of current federal, state, and institutional policies, procedures, and regulations pertaining to assigned program/process.
• Participates in the review, and revision of policies and procedures that govern assigned program/process.
• Provides periodic reports as needed to leadership.
• Attends state and regional meetings/conferences as necessary.
• Participates in committees and/or task forces across campus as necessary.
• Performs other duties as assigned.
Job Summary
To provide advanced skills in the administration and oversight of specific registrar programs and/or processes.
Responsible for decision-making processes requiring initiative and judgment in responding to individual needs of students, for administration of one or more registrar program/process areas. This will include specializing in specific programs and developing, implementing, and coordinating projects and recommendations. Areas include graduation coordination, athletic certification, veteran certification/benefits, residency certification, records processing, scheduling, and publications.

• May supervise Registrar Officer I and/or Enrollment Services Associate level positions and/or work-study students. This includes participating in hiring, disciplinary and performance evaluations and determining work priorities, and assigning work to various staff members.
• Serves as primary liaison with colleges, departments, and divisions regarding assigned programs/processes.
• Uses discretion and independent judgment to advise and counsel students regarding required forms, application/document processing, eligibility requirements, benefits, acceptance or denial of benefits, etc. for assigned program/process.
• Provides oversight and guidance to staff members for processing, reviewing, evaluating, and maintaining student documentation for assigned programs that may include applications, transcripts, academic documents, veteran forms, pending degree verification, and miscellaneous forms to determine eligibility and/or benefits available to the student.
• Uses independent judgment to orchestrate and oversee events, programs, processes, and publications. Guides the resolution of complex problems for assigned programs/processes.
• Coordinates development and distribution of documents, requirements, general information, schedules, and reports to students, parents, departments, and the university community for assigned programs/processes.
• Coordinates and interacts with the Texas Higher Education Coordinating Board, National Student Clearinghouse, Undergraduate Admissions, Graduate Admissions, Athletics Office, Advising, Legal Counsel, Financial Aid & Scholarships, colleges, and Departments on current policies, procedures, and regulations involving student eligibility, benefits, certification, scheduling, publications and reports related to assigned program/process.
• Researches rules, regulations, and peer programs to stay abreast of and in compliance with regulations that govern all assigned programs/processes. Interprets and maintains knowledge of current federal, state, and institutional policies, procedures, and regulations pertaining to assigned programs/processes.
• In collaboration with supervisors/leadership, reviews, revises, and interprets complex rules, regulations, procedures, and policies related to assigned programs/processes. Provides assistance and guidance to other Registrar staff and the university community to ensure that processing and scheduling activities adhere to established policies and procedures.
• Assists in developing and revising consumer information material, publications, and brochures for currently enrolled students, prospective students and their parents, colleges, departments, and the university community.
• Provides periodic reports as needed to leadership.
• Attends state and regional meetings/conferences as necessary.
• Participates in committees and/or task forces across campus as necessary.
• Serves as a mentor when needed.
• Performs other duties as assigned.
Required Qualifications
Level I
• Bachelor's Degree from an accredited university.
• One (1) year of registrar, enrollment management, student advising and/or student services experience; or one (1) year of administrative experience; or one (1) year of related experience.
• Two (2) years as a student employee in one of the student services areas listed above may substitute for one-year full-time experience.
• Master's degree may substitute for required experience.
Level II
• Bachelor's degree from an accredited university.
• Two (2) years of registrar, enrollment management, student advising/services, or related experience; or two (2) years of administrative experience.
• Master's degree can substitute for one (1) year of experience.
