Essential Functions
Job Summary
The Online Sr. Program Manager reports to the Assistant Vice Provost of UTSA Online and oversees the process of launching new 100% online degree programs as part of UTSA Online's self-supporting program offerings. This role involves maintaining a close partnership with Digital Learning, faculty, program coordinators, the Admissions and Registrar teams, the Assistant Directors of the UTSA Online Enrollment and Advising Teams, Marketing and Communications teams, the Senior Financial Director for Academic Innovation, and other senior UTSA leadership.
This position also provides occasional administrative assistance to the Assistant Vice Provost of Online Programs.
This position requires a high level of attention to detail, collaboration, and customer service skills, and a desire to be part of a fast-paced but highly visible initiative that will help grow enrollment at UTSA.
Core Responsibilities
• Manages the launching of 100% online programs at the undergraduate and graduate level for Academic Innovation and Online Programs at UTSA.
• Uses Trello project management tool to house all back-and-forth communication with project stakeholders.
• Collaborates with internal and external partners to ensure tasks are accomplished based on due dates determined by the new program launch date.
• Maintains awareness of committee meeting schedules and milestones that must be met to be able to launch new programs on time.
• Continuously updates training documentation in coordination with UTSA Online leadership as new pieces of the degree launch program process are added to ensure front-line team alignment, such as process flow maps, SOPs for how a program is launched, etc.
• Checks the CourseLeaf course management system to monitor program approval chains and upcoming action items.
• Develops a thorough understanding of the new Online program launch workflow; use knowledge to facilitate program approvals as efficiently and effectively as possible within University, UT System, and The Higher Education Coordinating Board (THECB) policies and procedures, such as tracking approvals, submitting paperwork when needed, as well as coordinating and communicating with internal personnel at UTSA that need to be made aware of where approvals are.
• Maintains a thorough understanding of any policy or procedural changes impacting Online (ONL) program approvals, communicating updates to stakeholders and providing recommendations to leadership to modify procedures as necessary.
• Independently and proactively prioritizes, plans, coordinates, and oversees logistics for meetings with key project team members including developing agendas, taking project notes, recording, and following up on action items.
• Leads project stakeholder meetings as a representative of the AVP of UTSA Online; ask relevant and appropriate questions and facilitate conversations to address questions and accomplish meeting objectives.
• Coordinates, prepares, and disseminates various reports and communications for department projects
• Develops, reviews, and edits presentations and documentation; independently research and analyze associated issues and compile materials needed for decision-making purposes.
• Maintains administrative records, policies, and procedures; provides analysis and interpretation of internal processes and makes recommendations to improve efficiency and effectiveness.
• Tracks newly launched programs and works in tandem with the data and reporting team to provide pertinent data when needed.
• Coordinates AVP's calendar to align with external and internal customers and to ensure optimal process flow for all program needs as well as other administrative duties assigned.
• Learns new software applications used within the division and across the campus.
• Performs other duties as assigned.
Required Qualifications
• Bachelor's degree from an accredited institution.
• Seven (7) years of related experience.
• Six (6) years of experience as a coordinator or project manager.
• Tact, diplomacy, and judgment are necessary in dealing with others.
• Excellent written and verbal communication, organizational and analytical skills.
• Basic understanding of higher education and enrollment/advising duties.
Preferred Qualifications
• Experience with a project management platform (Trello, Asana, Basecamp, Monday.com, etc.).
• Experience in project management.
• Experience with sales and providing a customer-focused environment.
• Experience in higher education (admissions, enrollment, recruitment, advising, etc.).

Working Environment:

Physical Demands:
• Sedentary work; sitting most of the time. Jobs are sedentary if walking and standing are required, only occasionally.
• Exerts up to 10 lbs. of force occasionally.
This position will require working both remotely in Texas and on campus (approximately five or more days on campus per month). Travel and parking expenses are the employee's responsibility. Applicants must be adaptable and open to working in both environments.
