Essential Functions:
 
The Senior Administrative Assistant works directly under the supervision of the Vice-President, providing primary administrative support for the Division of Student Affairs and Enrollment Management. The position provides support for student services and ensures efficient workflow, compliance with institutional policies, and alignment with the College’s mission to support student access, retention, and success. The Senior Administrative Assistant must abide by strict confidentiality requirements, work effectively and efficiently with students, faculty, and staff in a fast-paced environment, and successfully initiate, execute, and complete multiple projects in a timely and efficient manner.
Job Duties and Responsibilities
  • Demonstrates exceptional, student-centered customer service by delivering timely, accurate, and professional support to students, faculty, staff, and community stakeholders. 
  • Is familiar with Coastal Bend College Enrollment processes and procedures to direct and support students.
  • Prepares reports, presentations, agendas, and official communications for internal and external stakeholders.
  • Maintain Division records in compliance with institutional, state, and federal regulations.
  • Supports planning and execution of key enrollment initiatives, including recruitment campaigns, orientations, registration events, and student success programs.
  • Provides support for Cougar Care Program.
  • Abides by FERPA regulations and maintains confidentiality of records. 
  • Maintains up-to-date documentation for office budgets, generates and executes requisitions, purchase orders, reimbursements, recurring vouchers, expense reports, and reconciliation of departmental purchases/debit cards for the Departments in the Division of Student Affairs and Enrollment Management.
  • Assist with preparing meeting minutes, data collection, tracking, and reporting for accrediting and institutional effectiveness purposes.
  • Monitor Division mailboxes, disseminate mail, and coordinate divisional/departmental mailings.
  • Other duties as assigned.
Qualifications
Minimum Qualifications:
  • Associate degree required from an accredited institution of higher education.
  • Minimum of 3 years' administrative office support-related work experience, preferably in higher education.
  • Strong organizational, time management, and multitasking skills.  
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)  
  • Demonstrated experience supporting senior-level administrators.Excellent written or verbal communication skills. 

Preferred Qualifications:

  • Bachelor’s degree.
  • Experience in higher education student affairs and/or enrollment management departments.
Supplemental Information
Other Duties:

Will participate in college committees such as the Institutional Effectiveness Committee, Task Force, Graduation, Strategic Enrollment Management, etc.

Travel Requirements:

Travel to other CBC sites or off-campus events may be required. 

Environment:
 This position is in a fast-paced environment that supports student success. Occasional evening and weekend work may be required.
