Provide general administrative and clerical support, including opening and sorting mail, data entry, mailing, scanning, faxing, copying management, and answering business office phones.
Organizing source documents, files, and other account-affiliated information.
Post standard monthly journal entries.
Monitor the accounts payable email inbox and match invoices to correct purchase orders.
Corresponds with departments campus-wide to provide invoices and get approval for payment.
Understands college procurement standards and abides by college, state and federal guidelines when performing job duties.
Ensures bank accounts have been funded prior to ACH or check runs.
Calls vendors regarding address changes.
Requests updated W-9s.
Manages returned checks.
Prepares and processes payment batches.
Distributes mail or checks.
Tracking, collection, and recording of revenues (receipts & payments); monitoring daily receipts and bank activity.
Support duties related to accounts payable and accounts receivable functions (Sponsorship Billing/TDCJ Billing/Bank Mobile).
Maintaining and updating financial records in an organized manner.
Maintain confidentiality of all financial data
Support invoice reconciliation by resolving purchase order discrepancies.
Conducts monthly reviews of open purchase orders to maintain accurate system records and supports the timely closure or modification of purchase orders requiring updates.
Performs other duties as assigned.
An associate's degree in accounting or a business-related field is required. A working knowledge of basic computer skills and the ability to operate standard office equipment. Experience with Microsoft Office Suite. One year of accounting experience.
PreferredQualifications:Bachelor’s degree in accounting or a business-related field. Three years of accounting experience in higher education. Experience using Ellucian Colleague Finance.
